Privacy policy
Last updated: 24 October 2026
This policy explains how PTC Byte Labs collects and uses personal information when you visit ptcbytelabs.com, contact us or work with us. We are committed to handling your information lawfully, fairly and transparently under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
1. Who we are
PTC Byte Labs is a trading name of PTC (Professional Training Consultants) Ltd, a company registered in England and Wales (company number 12250234), with its registered office at 49 Orchard Grove, Harrow, HA3 9QR, United Kingdom.
For the personal information described in this policy, we are the data controller. You can contact us about privacy at hello@ptcbytelabs.com or on +44 7404 397993.
When we build or run systems for our clients (for example an AI assistant that answers their customers' calls), we usually act as a data processor on our client's behalf. In that case our client's own privacy policy applies to their customers, and our data processing agreement governs how we handle that data.
2. Information we collect
- Enquiry details you give us through our website form, email, phone or WhatsApp: your name, company, email address, phone number, the service you are interested in, your timeline and any message you send.
- Client and contract information: contact details of client staff, project information, invoices and payment records.
- Communications: emails, messages and notes of calls and meetings with you.
- Technical information: when you visit our website, our hosting provider automatically processes your IP address, browser type and the pages requested, to deliver the site and protect it from abuse. Our enquiry form also records the approximate country of the request.
We do not intentionally collect special category data (such as health information) through our website, and our services are not directed at children.
3. How and why we use your information

4. Who we share information with
We never sell your personal information. We share it only with trusted service providers who help us run our business, under contracts that require them to protect it:
- Cloudflare: website hosting, security and email routing
- Google: email and productivity tools
- Brevo: sending business email
- WhatsApp (Meta): when you choose to message us on WhatsApp
- Delivery partners: vetted designers and developers in the UK and India who help deliver client projects, bound by confidentiality
- Professional advisers: our accountants, lawyers and insurers, where necessary
- Authorities: where we are required to by law
5. International transfers
Some of our providers and delivery partners are located outside the UK, including in the European Economic Area, the United States and India. When we transfer personal information outside the UK, we make sure it is protected by an adequacy regulation (such as the UK Extension to the EU–US Data Privacy Framework) or by the UK International Data Transfer Agreement or Addendum, together with appropriate security measures.
6. How long we keep information
- Enquiries that do not become a project: up to 2 years from our last contact.
- Client, contract and financial records: 6 years after the end of the financial year in which the contract ends, as required by UK law.
- Website technical logs: kept by our hosting provider for a short period for security purposes.
After these periods, we securely delete or anonymise the information.
7. Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct information that is wrong or incomplete;
- ask us to delete your information;
- ask us to restrict or stop using your information;
- object to our use of your information based on legitimate interests, including direct marketing;
- receive your information in a portable format; and
- withdraw consent at any time, where we rely on consent.
To use any of these rights, email hello@ptcbytelabs.com. There is no fee, and we will reply within one month.
8. Cookies
Our website does not use advertising or analytics cookies and does not track you across other websites. Our pages load fonts from Google Fonts, which means your browser connects to Google's servers and shares your IP address with Google. If we introduce analytics or other non-essential cookies in future, we will ask for your consent first.
9. Security
We use appropriate technical and organisational measures to protect personal information, including encrypted connections (HTTPS), access controls, multi-factor authentication on business accounts and confidentiality obligations for everyone who works with us.
10. Complaints
If you have a concern about how we handle your information, please contact us first and we will do our best to resolve it. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator: ico.org.uk/make-a-complaint or 0303 123 1113.
11. Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
